Q. Check-in and out times at the Westin hotel?

Check-in time at the Westin Hotel is 4:00 pm please note this when you are arranging your flights. Check-out time is 11:00 am on your departure day.

Q. Are my meals covered?

Yes, you may dine in any 1 of 4 restaurants as part of the ASEA “The flavors of the Caribbean” Meal Package.

ASEA has arranged a meal plan for you as follows: Your meal plan begins for breakfast on July 13th. You are able to have dinner in any of the 4 restaurants included in your meal plan. available Shorebird, Luna Mar, Sugarfin, and The Salt shack.

July 12 your first meal covered is the ASEA Dinner at the Welcome reception.

July 13 Breakfast, lunch, and Dinner are covered in your meal plan.

July 14 Breakfast, lunch, and Dinner are covered in your meal plan.

July 15 Breakfast, Lunch is covered in your meal plan. You will be dining with ASEA for our farewell Celebration Street Party!

July 16th Breakfast is covered in your meal plan but ends at 11:00 am. You just need to dine before that.

 

Q. What travel documentation do I need?

 UNITED STATES CITIZENS

What does a US citizen need to travel to US Virgin Islands?

If you are a U.S. citizen a passport is not required, but it still serves as the best identification when traveling. Otherwise, you must be prepared to show evidence of citizenship when departing the islands, such as a raised-seal birth certificate and government-issued photo ID.


NON-UNITED STATES CITIZENS
If you are a non-US Citizen going to the US Virgin Islands in 2023, you need to present a valid passport from your country of citizenship. You may also need additional documentation such as a visa.

If you are NOT a United States citizen (or are traveling on a non-United States passport), please verify your specific documentation requirements with your country's consulate before departing.

 ALL GUESTS
It is the sole responsibility of the attendee to verify and obtain all necessary documentation requirements when traveling to another country. Many countries require passports to be valid for at least six months beyond the date of your expected return and may require blank passport pages for entry and exit stamps. Some citizens may be required to obtain a Visa to enter certain countries.

 It is also the sole responsibility of the attendee to verify, obtain, and be aware of all necessary documentation requirements for any required Covid-19 testing, proof of vaccination or negative test, etc. when traveling. Please check your destination’s specific Covid-19 requirements as well as the requirements of the airline you are traveling on.

We also recommend packing a photocopy of the picture and signature pages of your passport. If your passport should get lost, the photocopies will make it much easier to get an emergency replacement.

Q. What are the Covid-19 testing requirements for entering ST. Thomas, VI for International Travel?

You must be fully vaccinated with the primary series of an accepted COVID-19 vaccine to travel to the United States by plane. Bring proof of vaccination.

  • ALL travelers 2 years and older: If you are flying to the U.S. from China, Hong Kong, or Macau, or have been in these areas in the past 10 days and are flying from certain airports, you are required to show a negative COVID-19 test result or documentation of recovery from COVID-19 before you board your flight to the U.S.
  • Non-U.S. citizens, and non-U.S. immigrants: You must show proof of being fully vaccinated with the primary series of an accepted COVID-19 vaccine before you board your flight to the United States.
  • You need to fill out the form found in this QR code before boarding your airplane to the Virgin Islands.

 

 

Q. What airport in St Thomas should I plan to arrive at and depart from?

 Please plan on arriving in St. Thomas on July 12, 2023, and departing on Sunday, July 16, 2023.

If you have earned the Legacy Experience you will depart on  Wednesday, July 19, 2023.

You must arrive at and depart from St. Thomas, VI Cyril E. King International Airport (CEKA). Located at No. 70 Lindbergh Bay on the southwestern side of St. Thomas, U.S. Virgin Island

Q. Can I extend my stay at the resort?

 Extensions may be available at the resort for up to 3 nights before July 12, 2023, and up to 3 nights after July 16, 2023.

 Hotel extensions are an additional cost of $285.00 + +/Room/Night (Based on Double Occupancy). Extensions are based on hotel availability and are NOT guaranteed until confirmed with the hotel. If you are interested in extending your stay, please contact Shelley Tiratto at stiratto@aseaglobal.com.

Please do NOT solidify your airfare until your extension dates have been confirmed. If you are extending your time beyond the scheduled group dates, you will be responsible for arranging and paying for your transfers.

 

Q. When should I leave for the airport?

 The recommended airport check-in time for international flights is three hours before departure. 
Please check with your airline for schedule changes or flight delays and confirm the recommended check-in time before leaving for the airport. Please remember to allow extra time if you are unfamiliar with the airport, are leaving during heavy traffic times, or have excess baggage.

Q. What is the Cancellation Policy for this event?

If an associate or guest cancels, they are responsible for reimbursing ASEA for the incurred cancellation fees as shown in the fee schedule below.

 

Cancellation Fees

50% from April 1, 2023 – May 1, 2023.

75% May 2, 2023 – May 25, 2023

100%  from May 26, 2023, on



Payment of cancellation fees is due within 60 days of cancellation. Failure to reimburse the company will result in commissions being held until cancellation money is collected.

Q. Should I purchase Travel Insurance?

 Because unforeseen circumstances may arise, we strongly recommend that you purchase Travel Insurance through TravelGuard. TravelGuard is an affordable plan with a comprehensive package of travel assistance and concierge services available 24 hours a day, anywhere in the world. With TravelGuard, you receive basic coverage in the event of trip-related expenses, including cancellation, interruption, or delay; emergency medical treatment or evacuation; lost, stolen, or damaged baggage or travel documents; or baggage delay. Coverage may be purchased any time up to 24 hours before departure; however, to qualify for coverage for cancellations that may be necessary due to pre-existing medical conditions, TravelGuard requires purchase within 15 days of registration. Q. How much luggage can I take?

 Most airlines permit each passenger to take one carry-on bag and one additional personal carry-on item, such as a purse or briefcase/laptop case. All carry-on items must fit under the seat in front of you or the overhead compartment. Carry-on baggage size requirements differ between airlines so please check with your airline before traveling to make sure your carry-on bags fit your airline's specified dimensions. Most airlines will allow you to check bags as well. Please check with your airline to confirm the current luggage limitations and any applicable fees for carry-on and checked baggage. Please note that many airlines charge significant fees for overweight or oversized luggage.

Be sure that all baggage and personal belongings are properly insured. Items such as medications, jewelry, or other valuables, breakable or perishable items, and important documents should be hand-carried. Responsibility will not be assumed by the airline for the loss of or damage to these items.

Q. What items can I carry on?

 Due to potential security issues on flights, the Transportation Security Administration has updated its aviation security measures. Q. How do customs procedures work at St Thomas, VI ​ Cyril E. King International Airport.

It is a US territory but since it's a "port of entry" you have to do customs. You will go through Customs and Immigration upon your return to the mainland from the USVI, not upon your arrival to the USVI from the mainland.

 

Q. What is the weather like in St Thomas?

 July is one of the warmest months of the year in St. Thomas. The average maximum temperature in July is 89 degrees Fahrenheit or 32 Celsius, according to the U.S. National Weather Service. The average nighttime temperature in July is 78 degrees Fahrenheit or 26 Celsius. In the evening, it rarely becomes cool enough for even a light cardigan. During July, St. Thomas has on average 2.6 inches of rain. On average, it rains about four days out of the month.

Q. What should I pack?

 Shorts, T-shirts, swimsuits, and sandals are suitable for men, while shorts, skirts, tank tops, T-shirts, swimsuits,  and sandals are ideal for women. It can always rain so please be prepared for rainy weather.

Dress Clothing
Your daily clothing is sufficient for casual restaurants, but you'll need dress clothing for more formal restaurants. Slacks and dress shirts are acceptable for men, while slacks, skirts, blouses, and dresses are suitable for women. Don’t forget we will also go into town for a street party with cobblestone roads. Suitable walking shoes will be best.

Beaches and Excursions

Thomas, U.S. Virgin Islands, is an ideal Caribbean getaway. The water is brilliant blue, the beaches are outstanding, and there is an incredible variety of good food options. From historic sites to dazzling views to activities that will get your adrenaline pumping, there are lots of fun things to do in St. Thomas. General Items
The list of general items you pack should range from those that are essential to those that will help you enjoy your visit. Pack your toothbrush, toothpaste, hair products, makeup, and other accessories, and if you get ill easily when traveling, take some medication that will help with an upset stomach and other common travelers' ailments. To help record the memories of your trip, pack a camera and some spare batteries. Remember to pack your passport and information about your visit.

Yes, it is safe to drink the water in ST Thomas.

 Standard 120-volt current is used in the U.S. Virgin Islands. It is the same type used in the United States and Canada.
